Guidelines for oral presentations

If you were selected for an oral presentation, you need to prepare your slides carefully:

  • Timing: Oral presentations include an 12-minute speech with an additional 3 minutes for questions.
  • Format: Design your presentation in widescreen (16:9) layout using PowerPoint (.pptx).
  • Delivery: Bring your presentation file to the AV technician, preferably the day before your scheduled talk, and introduce yourself to the session chair.
  • Attendance: You must be physically present at the conference and are expected to attend the entire allocated session.

Guidelines for flash poster presentations

  • Timing: Oral presentations include an 2-minute speech.
  • Format: Design your presentation in widescreen (16:9) layout using PowerPoint (.pptx).
  • Delivery: Bring your presentation file to the AV technician, preferably the day before your scheduled talk, and introduce yourself to the session chair.
  • Attendance: You must be physically present at the conference and are expected to attend the entire allocated session.

Guidelines for the preparation of your scientific poster

📍 For poster presentations, follow these specifications:

  • Size & Layout: Your poster should be Portrait A0 sizing (maximum 841 mm × 1189 mm).
    To ensure there is space between each presentation, poster walls will not always be aligned in a straight line, but may stand together in small groups to maximize visibility. Therefore, it is essential that your poster does not exceed the maximum width of 841 mm.
  • Readability: All text, figures, and titles must be large enough to be easily legible from a distance of at least 2 meters.
  • A poster printed on one large sheet of paper is encouraged.
  • Poster number labels will be provided on site and will be placed above your poster on the board.
  • Each poster presenter will be provided with Velcro stickers (or alike) to attach their poster to their assigned board. Posters printed on canvas or heavy material are not recommended because they often prove too heavy. Pins may not be used on the poster boards provided because they damage the boards.
  • You will have access to the boards when registrations opens.
  • Content: Must be entirely in English and clearly display the title, author names, and institutional affiliations.
    Avoid excessive amounts of text. Instead, provide information in short bullet points.
    Introduction and Summary/Conclusions sections are advised.
    Double spaced text is recommended.
  • Posters must be removed after the end of the session. Congress organizers will not be responsible for remaining posters.

Please note posters should NOT be sent to the Committee, nor the congress organisers, but should be brought as a hardcopy by the presenter and placed on their numbered board 30 mins before their allocated session.
